Bring your actual workflow
Describe how an enquiry becomes an opportunity, how units are selected and what happens before a reservation is accepted. Include the handoffs that currently need extra coordination. Ask to see the same scenario in the system, and note which steps are standard, configurable or outside the proposed scope.
Check access with more than one role
A manager and a salesperson rarely need identical access. Review what each role can see, edit and approve. If you operate across companies or projects, test those boundaries explicitly. Ask how your required permissions will be configured and verified during setup.
Evaluate the information you will maintain
List the customer, inventory and sales data you need to bring into the system. Clarify the supported import process, required formats, duplicate handling and who is responsible for preparation. Ask how records can be reviewed and exported within the agreed scope. Write down the answers before planning a migration.
Confirm the full proposed scope
Ask for a written outline of enabled modules, users, integrations, implementation work and support. Confirm what is included in the commercial proposal and what would require a separate agreement. Finish with an adoption plan: who will configure the workspace, who will train the team and how the agreed workflows will be checked.
