1. Information you provide
When you submit a contact or demo form, we receive the name, company, email address, selected interest, message and consent you enter. A phone number is optional. Your submission is stored with its request reference and submission details so it can be reviewed and followed up.
Please share only the information needed for your enquiry. Do not include passwords, access tokens, payment-card details or confidential customer records.
2. How the information is used
We use the submitted information to understand your requirements, respond to your enquiry, coordinate a requested demonstration and maintain the related correspondence. The consent field records your agreement to be contacted about that request. Submitting a form does not subscribe you to an unrelated marketing mailing list.
3. Storage and access
Enquiries are stored in the website’s private database and are not published on public pages. Access is intended for the people responsible for handling requests and operating the website. We do not sell personal information submitted through these forms.
Requests to remove information are reviewed in light of ongoing correspondence and any applicable record-keeping obligations. This notice does not promise a fixed automatic deletion period.
4. Analytics and browser preferences
The current public website does not use external analytics or advertising trackers, and it does not set tracking cookies. Selected interface preferences may be saved in your own browser using local storage. See the preferences page for more information and the option to clear them.

You can ask about the information associated with your enquiry, request a correction or deletion, or ask us to stop contacting you about it. Use the contact details below and include the email address used for the original request. We may need to confirm that the request relates to you before sharing or changing a record.
6. Optional Google Ads and YouTube connections
A customer workspace connects a Google account only when an authorized workspace user chooses the connection and completes Google consent. The Google Ads permission can allow account management; the current VEXO integration uses it to read the selected advertising account, campaigns, spending, lead forms and lead submissions for reporting and lead follow-up. It does not create or change Google Ads campaigns through this connection. The YouTube connection requests read-only access to discover channels the consenting account can access and read channel names, identifiers and public statistics for display in that workspace.
Google sends authorization codes and tokens during consent. The VEXO platform administration service exchanges the code and passes the resulting tokens to the customer workspace; it keeps the platform application credential and short-lived authorization state separately. The workspace stores connection tokens in its protected secrets storage and stores selected account, channel, campaign and lead information in its own records. Authorized workspace users and operators acting under the customer arrangement can access that workspace information. Requests to Google send the token and the selected account or channel identifiers so the requested data can be retrieved. We do not sell Google user data or use it for unrelated advertising.
The customer controls who may connect accounts and use the resulting workspace records. An authorized user can stop the connection in VEXO or revoke VEXO access in their Google Account settings. Stopping access prevents new authorized retrieval; records already imported into the workspace are handled under the customer agreement and applicable retention obligations, and are not automatically erased by revocation. Contact your workspace administrator or use the contact details below for access, correction or deletion requests.
7. Other optional marketing-platform connections
Where a provider has approved and enabled a connection, an authorized customer-workspace user may choose to connect a Meta, TikTok, LinkedIn or Snapchat account they are entitled to use. The provider consent screen shows the requested permissions. Depending on the connection selected, VEXO may retrieve account or page identifiers, campaign and performance information, lead forms and submitted leads for that customer workspace. The workspace uses this information for reporting and lead follow-up; it does not make the connection available to every customer merely because a platform application has been configured by VEXO.
Connection tokens are kept in protected workspace secrets storage and imported records remain in the relevant customer workspace. Authorized users can disconnect in VEXO or revoke access through the provider. Revocation stops new authorized retrieval, but does not automatically erase records already imported; the customer agreement and applicable retention obligations govern those records. For access, correction or deletion requests, contact your workspace administrator or use the contact details below. Each provider has its own privacy notice and service terms.
8. CRM workspaces and other websites
The website-enquiry sections above apply to the public website. Customer-workspace records, including data imported through an optional connection, are also subject to the applicable customer agreement and workspace arrangements. Connected providers have their own privacy notices.

We may update this page when our information practices change. The date above identifies the latest version published here.
