Start with shared identifiers
Agree how your organization identifies customers, projects and units. Use the selected unit record when available instead of copying a unit code between notes. Before preparing an offer, check that the property, customer and relevant project are correct. Small mistakes here can create confusion much later.
Define the reservation handoff
Sales and operations need to agree what makes a reservation ready for review. List the required customer details, selected unit and supporting information. Make it clear who checks the record and who can approve the next step. A visible review state helps the sales team communicate accurately with the customer.
Carry agreed information into collection work
The collection team needs the relevant agreement and payment schedule, not a disconnected summary. Establish which record represents the agreed terms, who may update it and how changes are reviewed. Keep installment and cheque information related to the correct sale so follow-up begins with the right context.
Test a complete example before rollout
Walk through one representative opportunity with the people who perform each step. Include an approval, a handoff and a correction to the record. Check what each role can see and do. Record the gaps, resolve them and repeat the affected steps before asking the whole team to adopt the workflow.
